Our client is in search of a true gatekeeper ofering right arm support to keep their home running smoothly. The ideal candidate will be a master at household and personal calendar management, project management and creating high end intimate dinner parties for high profile guests, and communicating on behalf of your principal through emails and over the phone. This is a true Estate Manager role with occasional Personal Assistant responsibilities as needed. This role is based out of a beautiful home office outside of the main residence (required to work in person Monday - Friday, from 8a-6p) and you will be in charge of the household daily and weekly schedule. Depending on the needs of the principal and if the schedule allows it, this can be a hybrid role working from home and onsite. If a weekend is required you are of course given the additional days off the following week. This is not frequent but is as needed. You will have daily meetings with this executive, and maintain a weekly TO DO list. Must be dog friendly and if needed house-sitting would be required. Ideal candidates will have a minimum of 10 years’ experience working for High Profile/HNW C-Suite Executives. This role requires an incredibly strong administrative foundation with relentless follow-through. The client offers a very generous compensation package and vacation schedule plus healthcare stipend. You will be provided with all the work equipment you'll need including laptop and cell phone. Relocation is being offered for the right candidate.

Key Responsibilities
Maintain proper correspondence with principals, vendors, etc.
Organize weekly and monthly reports to keep principals informed on estate status
Bill pay// Household administration duties
General management and organization of residence, with attention to special projects as needed and per request
Restock needed items for all households, including personal supplies
Vehicle fleet maintenance
Respond to owners requests and work to complete requirements in a timely manner.
Property and Technology Support:
Maintain household maintenance schedule- Daily, weekly, monthly and yearly checklists
Create household manual
Able to assist with event coordination at the house
1 or 2 larger scale events a year plus smaller more intimate dinners
Ideally someone who has a rolodex of local professionals including bartenders, chefs, waitstaff etc.
24/7Response to property issues on an on-call basis.
Provide reporting on property maintenance activities and maintain detailed records
Self-perform preventative maintenance when possible, balancing when to oversee and self-perform
Ensure technology is fully functioning at all times
Full understanding of smart home systems inclusive of Lutron, Crestron, Savant, and Apple TV
Arrange for escorting vendors and workers at properties to assure security, and privacy. Provide protection as needed for projects in preparation for work. Work alongside vendors to facilitate an efficient cost-effective outcome. Work with vendors to support all work undertaken at the property. Source, schedule, work and pay approved contractors or vendors for various property tasks and projects.
Troubleshoot issues which arise and work solutions in an efficient and cost-effective manner.
Inform owners of issues or proposed work, plan a suggested course of action. Once work is approved, schedule work at the convenience of the principals, being sure to minimize any disruption.
Key Candidate Required Skills
Proficient in Google office suite.
Detail-oriented with strong creative problem-solving skills.
Comfortable with and adept at learning new technology interfaces and software. Ability to use mobile devices for coordinating and reporting work performed.
Notion and Miro are two examples of software that you should either have experience using or are willing to learn to be successful in this role
Strong time management, organizational, and prioritization skills.
Excellent listening, interpersonal, written, and verbal communication skills.
Proactive and positive attitude, highly motivated, self-directed with minimal daily supervision.
Demonstrated flexibility in adapting to new and varying situations.

Bachelor’s degree from a 4-year College or University is a plus but not required
Excellent references required from both current and previous employers
Minimum 10 + years related experience working with a private or UHNW family
Valid Driver’s License REQUIRED; must have clean driving record
